Handling downgrades without surprising members

Give advance notice of a tier review, account for existing entitlements and explain downgrade outcomes using confirmed activity and clear dates.

Warn members about a possible tier downgrade before review, while they can still check their position. Show the activity needed to retain the tier, the deadline, when benefits may end and what happens to existing rewards or bookings. After review, explain the outcome from confirmed transaction records.

Separate reviews from rule changes

A scheduled downgrade applies the retention terms already given to members. A rule change alters those terms, such as the threshold, qualifying activity or benefit period. Treat a change as its own decision about affected members and transition terms; calling it a routine review does not explain it.

Keep the applicable rule version and review period with each assessment. Handle late-posted activity, refunds and corrections under the stated rules. If the record is incomplete, resolve it before issuing a definitive outcome.

Give advance notice members can use

State the current tier, confirmed progress, amount still required, qualifying activity and deadline. Show pending activity separately, including when it may count under the rules. Provide a way to query a missing transaction.

“Your status is at risk” gives members little to check. A notice should not imply that any purchase will secure the tier if exclusions, returns or confirmation conditions could prevent it. Put material conditions beside the retention message. Avoid pressuring members to buy something they do not need simply to keep a tier.

Account for existing entitlements

Before the lower tier takes effect, distinguish ongoing tier benefits from issued rewards, bookings, pending claims and any separate points balance. A downgrade does not automatically settle each item. Apply the published terms and show the outcome: for example, whether a booked service will be honoured or when access ends. Do not leave an unusable claim visible without an explanation.

Confirm and correct the decision

At review, reconcile confirmed qualifying activity to its orders or visits. Record the old tier, applicable rule, assessment date, result and effective date. Tell the member the new tier, when it begins and which benefits remain available. Do not describe an unassessed pending order as rejected.

If an eligible transaction was missed, correct the record, reassess the tier and explain the change. Keep the original assessment and correction traceable so support staff can resolve later questions. Review complaints and overturned decisions for unclear rules or data problems.

If the program offers a grace or review process, state its limits and honour the commitments made to members.
